Check out what’s changing with approvals and delegation in Workday

Today, employees across the Universities of Wisconsin rely heavily on manual processes, to-do lists, and reminders to complete their work. You may bounce between different files, spreadsheets, and systems like Human Resource System (HRS) or Shared Financial System (SFS) to find and complete tasks.

Beginning in July 2025, Workday will automate hundreds of finance, HR, and research administration workflows to route the right information to the right person at the right time.

Approvals

With Workday, your tasks will be assigned and routed to you based on your organization and security role. Your security role defines what you can see and do in Workday. Your most recently assigned tasks will appear on your Workday home page, and you will see your full list of assigned Workday items in My Tasks, which functions like an inbox.

When you’ve completed your work, Workday will route it to the next person in the approval process. After you take action, the items will move from My Tasks to the Archive, where you can view them for up to 90 days.

Delegation

If you’re out of the office, you or your manager can delegate your Workday tasks to others. You can delegate an individual task to one person, or you can delegate one or more specific business processes to up to five people.

Reassignment

In some situations, a task may need to be permanently assigned to someone else. Workday lets you or an administrator reassign the task to another team member, and you can no longer act on it.
